Shared assets are files or folders that have been shared with you or shared by you for Review, Approval, or Download. When you share a file or folder, the recipient gets a notification, and it appears on their Shared page.
Finding Shared Assets
Click Shared in the menu to open the page. The landing page groups assets by project rather than showing every file at once:
Click Shared in the menu to open the page. The landing page groups assets by project rather than showing every file at once:
- Grid view — displays one Project Card per project, showing the project name and its shared-asset count (e.g., "6 assets").
- List view — displays one row per project, alongside the number of assets.
- Only projects that have at least one shared asset appear on the landing page.
On the landing page, you can filter by Team and Date Created, use Search by project to find a project by name, and switch layouts with the grid/list toggle. The standalone Project filter has been removed — selecting a project is now how you drill in.

Click a project to reveal all the files and folders shared with you, by you, or by others for that project.

Note: The Team and Project filters are not shown inside a project — the context is already set by the project you opened. For how filters and views behave across the platform, see Search, Filters & Views.

Inside a project, each shared asset is shown as a card with:
- A thumbnail preview of the asset
- Asset status
- A bottom section, in order: Asset Name, File Format (e.g. .mp4, .jpg, .psd), Shared Date, Shared By
- A More (...) menu with available actions and information:
| Action | Description |
| Change Validity | Update how long the shared link stays active |
| Manage Access | View and adjust who has access |
| Download Asset | Download the asset |
| Delete | Permanently delete the shared link |
| Delete | Permanently delete the shared link |
Note: Change Validity and Delete require the Approver/Reviewer Assignment permission. Both options stay visible in the menu, but if you don't have the permission, Postudio shows "Ask your team/project admin to enable this feature." when you select them and the action doesn't run. Ask your Team or Project Admin to enable it — see Project Member Roles & Permissions.
Change Validity
Use Change Validity to extend or shorten a shared link after it's been created — without re-sharing the asset.

| 30 Days | Link expires 30 days after sharing |
| 60 Days | Link expires 60 days after sharing |
| No Limit | Link never expires |
| Custom (Days) | Enter any value from 1 to 365 days |
| Custom (Hours) | Enter any value from 1 to 120 hours |
For how validity is set when first sharing, see Share Assets.
Delete a Shared Link
Delete removes the shared link permanently — recipients lose access, and the asset stops appearing on the Shared page. The underlying asset in the project is not deleted; only the share link is removed.

What happens when I delete a shared link?
The link is removed permanently and recipients lose access, but the original asset stays in the project. You'll be asked to type confirm before the delete goes through. To share it again, re-share from the project details page.
