Share Asset for Review, Approval, or Download

Once your work is ready, you can easily share assets with team members or external project members for feedback, approval, or final delivery.


How to Share Assets
  1. Go to your Project Page, and locate the asset you want to share.

  2. On the Asset Action (...) pop-up, select Share.

    The selected users will receive a notification and an email. The shared asset will appear on their Shared Assets page.

    What does each 'Share type' option mean?


    For Review

    • Use when you want feedback or comments on an asset

    • Select Review from the dropdown

    • Add users/groups you want to send to

    • Set the Link Visibility

    • Set the Link Validity (1 to 120 hours)


        For Approval

        • Use when you're requesting a final approval decision

        • Select Approval from the dropdown

        • Add users/groups you want to send to

        • Set the Link Visibility

        • Set the Link Validity (1 to 120 hours)


          For Download

          • Use when you need to share files for downloads

          • Select Download from the dropdown

          • Add users/groups you want to send to

          • Set the Link Visibility

          • Select the Share Type: Proxy/Original

            • Proxy: This will share a watermarked proxy version of the asset
            • Original: This will share the original asset for download

                • You can:

                  • Set a passcode (8–16 characters)

                  • Set the Link Validity (1 to 120 hours)

                • Important: Postudio does not send the passcode automatically—you must share it separately via email, message, or call.

                • Non-Postudio users can use the passcode to download without signing up.

                Note: All assets shared for download are protected with multiple security watermarks, including the company logo, “Preview Copy” text, and the recipient’s email ID, providing enhanced protection and traceability.

                Link Visibility
                To access the shared asset, Sign Up/Sign In is required based on the Link Visibility selected at the time of sharing.

                • Private: Access limited to project members and added users. Sign-up/Sign-in needed.
                • Public: Visible to anyone with the link. Sign-up/Sign-in not needed.​

                Note: Passcode protection is now automatically enforced based on link visibility. It’s mandatory for Public links and disabled by default for Private links, with the option to enable it if needed.
